Information We Collect
When you request a quote, we collect your name, email address, the city or ZIP code where the pool is located, the type of service you are asking about, your message, and any photos you choose to upload. You may also provide a phone number, but it is not required. We also receive the information you include when you contact us directly by phone or email.
When you complete the New Client Form, we collect the information needed to create and administer the customer relationship. This includes your name, requested start date, service address, phone number, email, an optional separate portal email, estimated pool volume, pool and equipment details, access and safety information, known equipment issues, property instructions, communication preferences, referral information, agreement acknowledgments, and your typed electronic signature. The signed record also includes the agreement version, submission time, a confirmation identifier, and technical information used to attribute and protect the record.
When you submit a general employment application, we collect your name, email address, optional phone number and general location, area of work interest, experience summary, optional availability, acknowledgment, and uploaded résumé. We also create a confirmation identifier and receive technical information used to secure and attribute the submission.
Please do not include payment-card or bank information, passwords, gate or access codes, government identification numbers, medical information, or other sensitive personal information in the quote form, message, or uploaded photos. The New Client Form has a field for service access instructions; provide only information reasonably needed for scheduled pool service and do not include alarm passwords or unrelated security credentials. Employment applicants should not provide a Social Security number, driver's-license number, date of birth, financial information, medical details, account passwords, or other sensitive information that is not requested by the application.
Technical Information
When you visit the website or submit the quote form, the hosting and security infrastructure may process technical information such as your IP address, browser or device details, request time, and related security metadata. We use this information to operate, secure, and troubleshoot the website, not for behavioral advertising.
How We Use Information
We use submitted information to:
- review your request and determine whether we may be able to provide service;
- respond to you, ask follow-up questions, and prepare or discuss a quote;
- create a client profile, schedule requested work, and administer service;
- preserve a versioned record of the New Client Form, acknowledgments, and signature;
- communicate about scheduling, service, repairs, invoices, and the client portal;
- review general employment applications and contact applicants about possible opportunities;
- protect the website, our business, and our customers from misuse or fraud; and
- meet applicable legal, accounting, and business obligations.
Service Providers That Receive Information
The website is hosted through OpenAI Sites using Cloudflare infrastructure. These providers may process information needed to deliver and secure the website and to transmit website forms. Cloudflare D1 stores the durable, versioned record created when a New Client Form is signed and submitted. Resend processes quote-request content, optional quote photos, and signed New Client Forms. Resend emails the completed signed form to the customer at the primary email address provided and sends a separate business copy to A&C Pools. For employment applications, Cloudflare D1 stores application metadata and Cloudflare R2 privately stores the uploaded résumé. Resend sends A&C Pools an application notification with a token-protected private download link; résumé files are not attached directly to notification emails. Resend retains email data for 30 days.
We may also disclose information when required by law, to protect legal rights or safety, or as part of a business transaction involving A&C Pools. We do not sell your personal information.
How Long We Keep Information
If a quote request does not result in a client relationship, A&C Pools may retain the request, related correspondence, and uploaded photos for up to 24 months. If you become a client, we may retain client-related records for as long as reasonably necessary to provide service, maintain business and accounting records, resolve disputes, enforce or defend the signed agreement, and meet legal obligations. Signed New Client Forms are treated as client business records. We may delete information sooner when it is no longer needed.
Applicant information and résumés are kept only as long as reasonably needed to evaluate current or future employment needs, respond to the applicant, maintain appropriate hiring records, resolve disputes, and meet legal obligations. Applicant records may be deleted sooner when they are no longer needed.
Security
We use reasonable administrative and technical measures intended to protect personal information. No website, email system, or transmission method can be guaranteed to be completely secure. Please use the client portal, rather than the quote form or email, for payment-related account activity. Do not submit card or bank-account details through the New Client Form.
Your Choices and Requests
You may choose not to submit the quote form and may contact us by phone instead. You may ask for help completing the New Client Form or request a paper completion method. You may also ask what personal information we hold about you, request a correction, or request deletion. We may need to verify your identity before acting on a request, and we may retain signed agreements or other information when required for legal, accounting, security, dispute-resolution, or active-service purposes.
Employment applicants may choose not to use the online application and may ask whether another submission method is available. Applicants may also request access, correction, or deletion of their application information, subject to identity verification and records A&C Pools must retain for legal, security, or dispute-resolution purposes.
