01. Service Setup + Pricing
Service pricing
This agreement explains service practices and customer responsibilities; it is not a price quote. The customer’s service rate is communicated separately and appears on invoices, together with applicable taxes and authorized additional charges.
Payment information
Invoices, payment methods, and stored card or bank information are managed through the secure client portal. A&C Pools does not collect card or bank-account details through this form.
02. Weekly Pool Care
A clear division of responsibilities helps each visit stay safe, efficient, and effective.
Schedule + allotted visit time
Weekly maintenance is normally performed on the customer’s assigned service day. Each weekly visit includes up to 60 minutes of maintenance. If pool conditions require additional time, the extra work may be billed at $100 per hour. A&C Pools will notify the customer before performing billable additional-time work whenever reasonably practicable.
What weekly service normally includes
A&C Pools tests and balances water chemistry; provides routine algae prevention or treatment; skims the surface; brushes walls, steps, and tile; vacuums or uses a leaf-removal tool when needed; empties skimmer, pump, and cleaner baskets; backwashes a D.E. filter approximately monthly when applicable; checks for visible equipment leaks; and reports operating concerns observed during the weekly visit.
Routine chemicals + additional treatment
Routine chemicals used during standard weekly maintenance are included unless the customer’s service plan states otherwise. Heavy storm cleanup, severe algae conditions not caused by A&C Pools, unusual debris, cleanup following work by another company, and other non-routine treatment may require additional service and charges. Calcium or scale removal is outside A&C Pools’ service scope. A&C Pools will communicate the need for additional work before proceeding whenever reasonably practicable.
Customer Responsibilities
- Maintain the pool or spa at the proper water level between visits. A&C Pools is not responsible for damage or repairs caused by an improper water level.
- Provide safe, reliable access on the scheduled service day, including working gate access and appropriate control of pets.
- Keep trees, plants, stored items, and other obstructions trimmed or moved away from the pool and equipment area.
- Promptly report known leaks, equipment problems, unusual water loss, or other conditions that may affect service or cause damage.
- Inform A&C Pools before adding unfamiliar chemicals or authorizing potentially conflicting work by another provider.
03. Weather, Holidays + Missed Visits
The monthly billing model is designed to absorb ordinary calendar and weather interruptions without recurring invoice adjustments.
Four-week monthly billing
Monthly service fees are calculated using four service weeks per month, or 48 billed service weeks per year. The calendar contains additional weekly service dates beyond those 48 billed weeks, and those additional weeks are not separately charged. This structure accounts for the scheduled year-end closure, inclement weather, unsafe working conditions, and occasional unavoidable interruptions. Monthly fees are not prorated, and credits are not issued for abbreviated, rescheduled, weather-affected, or missed service visits.
Inclement weather + unsafe conditions
Heavy rain, lightning or electrical storms, extreme heat, ice, snow, and other unsafe conditions may require A&C Pools to abbreviate a visit, provide chemical-only service, reschedule the visit, or omit service for that week. No credit or prorated adjustment will be provided because these interruptions are accounted for in the four-week monthly billing structure.
Regular holidays
When Memorial Day, Independence Day, Labor Day, or Thanksgiving falls on a customer’s scheduled weekday service day, A&C Pools will reschedule that service. The year-end closure below applies separately to Christmas and New Year’s Day.
Year-end closure
A&C Pools will be closed for one week around the Christmas holiday, generally from December 25 through January 1. The exact dates may vary slightly from year to year and will be communicated when needed. Pools will not be serviced during this closure. The monthly service rate already reflects this scheduled break, and no credit or prorated adjustment will be issued.
Conditions outside our control
A&C Pools is not responsible for damage caused by acts of nature, fire, vandalism, misuse, abuse, unauthorized third-party work, a customer’s failure to follow recommended maintenance or repair advice, or products A&C Pools did not supply or use. Pool equipment naturally deteriorates from age, chemical exposure, sunlight, weather, and ordinary use.
Reporting a suspected missed visit
If a customer believes a scheduled visit was missed, the customer must contact A&C Pools within 24 hours after the scheduled service day. A&C Pools will investigate using available service records and technician information. If the investigation confirms that the pool was not serviced, A&C Pools will schedule a make-up visit. If the records confirm that service was completed, no make-up visit will be provided. Missed-visit concerns are resolved through this investigation and make-up process rather than through a credit or refund.
04. Repairs + Separate Service Calls
Individual parts at $75 or less
The customer authorizes A&C Pools to install individual replacement parts priced at $75 or less without prior approval. A&C Pools will obtain approval before installing any individual part priced above $75.
Combined parts during a billing month
A&C Pools generally uses $75 in combined parts charges during a billing month as its approval guideline. Because minor parts may be installed during separate visits and cumulative totals are not tracked in real time, combined parts charges during a billing month may occasionally exceed $75 without prior approval. Although this situation is uncommon, it may occur when separate minor repairs are completed during the same billing month. A billing month is the period between consecutive invoice dates.
Filter cleaning + replacement components
Filter cleaning may be performed when indicated by filter pressure or operating conditions and is billed separately. Filter-cleaning charges do not include replacement grids, cartridges, manifolds, or other components. Replacement components are subject to the minor-parts authorization above.
When the $100 service-call charge applies
A separate technician visit requested for an issue or repair outside the weekly maintenance visit includes a $100 service-call charge. If the repair charge itself, including parts and labor, is $100 or less, the repair charge and the $100 service-call charge both apply. If the repair charge is more than $100, the separate $100 service-call charge is waived and the customer pays only the repair charge.
Example
A $45 capacitor repair completed during a separate technician visit results in a $145 total: $45 for the repair plus the $100 service-call charge.
05. Account Terms
Invoices + payment
Invoices are emailed and made available through the client portal. Payment is due according to the invoice and portal instructions. Customers are responsible for keeping their portal contact and payment information current.
Late accounts
A $20 late fee may be assessed when payment remains unpaid 14 days after its due date. If an account remains unpaid for 30 days, A&C Pools may provide notice that service will be placed on hold until the account is brought current. All outstanding charges remain due during a service hold or after termination.
Ending service + operational changes
Either the customer or A&C Pools may terminate this agreement by providing written notice to the other party. The customer remains responsible for charges incurred through the termination date. A&C Pools may update scheduling, service methods, portal processes, and other operating procedures as reasonably needed. Material changes to customer charges or signed service terms will be communicated before they take effect.
06. Privacy, Communications + Electronic Records
Use of submitted information
Information submitted through this agreement or the A&C Pools website may be used to create and manage the customer’s account, provide requested services, communicate about service and repairs, process billing, maintain business records, and administer this agreement. The customer acknowledges receiving an opportunity to review the current Privacy Policy before signing.
Service communications
A&C Pools may use the contact information provided in this form for account setup, scheduling, weekly service updates, billing, repair discussions, and other service-related communications. Message and data rates may apply to text messages; reply STOP to opt out.
Electronic completion + signature
If this form is completed or signed electronically, the customer consents to conduct this transaction electronically and agrees that the electronic record and signature are intended to have the same effect as a paper record and handwritten signature.
